Google to Microsoft Migration Support

Dear Colleagues & Students

We would like to share an update regarding Google Drive and to reassure you that the IT team is here to support you through this change.

As part of Bangkok Patana School’s continued move towards Microsoft 365 as our main digital working environment, we are planning the next step in reducing our reliance on Google Drive. This will help simplify where we store information, improve collaboration, and ensure our systems remain secure and consistent across the school.

What is changing?

From August 3rd 2026, all Bangkok Patana School Google Drive accounts will be set to read-only.

This means that after this date:

• You will still be able to view files in Google Drive and sign in to applications and websites using your Google account

• You will no longer be able to create, upload, or edit any files stored in Google Drive

What do I need to do?

Before the end of this term, we ask all staff to take some time to:

• Review what you have stored in Google Drive.

• Move any work-related files that you still need into Microsoft OneDrive.

• Recreate or rearrange folders in OneDrive and re-share content with colleagues where required.

OneDrive is now the school’s supported platform for file storage and works seamlessly with Microsoft Teams, SharePoint, Word, Excel and PowerPoint.

We appreciate that everyone uses their digital storage differently, and we understand that this may feel like a significant task for some. Please be reassured that you do not need to do this alone.

Support available

The IT team will:

• Share guidance and tips to help you organise content in OneDrive.

• Assist colleagues who have large amounts of data or complex shared folders.

• Answer questions and provide one-to-one support where needed.

If you are unsure what needs to be moved, or would like help planning your migration, please submit a Helpdesk ticket as early as possible so we can support you effectively.

Key dates

• Now – End of Term: Review and move files that you need to update and edit from Google Drive to OneDrive. Archived content (eg video, audio, photos, PDFs) can stay on Google Drive.

• August 3rd 2026: Google Drive becomes read-only

Frequently Asked Questions (FAQ)

Do I need to move everything from Google Drive?

No. You only need to move files that you still need for your role, teaching, administration or reference. Old or unused files do not need to be moved.

Will my files be deleted on 1 August 2026?

No. Your Google Drive files will remain available to view, but you will not be able to edit or add new content.

What about shared folders and documents?

Shared content that is still actively used should be recreated in OneDrive and shared again from there. The IT team can help you with this if needed.

What if I don’t finish moving my files by the end of term?

Please contact the IT Helpdesk as soon as possible if you are concerned. We will work with you to find the best way forward.

Can the IT team move the files for me?

In some cases, yes. If you have a large or complex set of files, the IT team can advise and assist — please get in touch early.

Why are we moving away from Google Drive?

This is part of a long-term strategy to use a single, integrated platform (Microsoft 365) for file storage and collaboration, helping improve security, consistency and support across the school.
